  1. PURPOSE

    To provide a consistent alphanumeric system to identify QNP quality system documents.




  2. RESPONSIBILITY

    The table below identifies the people and their responsibility relating to this procedure:

    Use this procedure for the proper alphanumeric identification of quality manuals, operating procedures, work instructions, and forms.

    Assign the appropriate document identification codes to quality manuals, operating procedures, work instructions, and forms.

    Protect documents with passwords and restricted read/write privileges as appropriate.

  4. POLICIES

    1. QNP Quality system documents are located online and are protected from unauthorized changes by passwords and restricted read/write priveleges.

    2. SAMPLE OPERATING PROCEDURE IDENTIFICATION: The following is an illustration of an operating procedures number and its parts:

    3. Document Codes: The following list of 2 letter document codes are used to correspond to the 4 document types.

    5. Files stored online on the QNP computer network are stored in the appropriate directories, and are identified by the document identification code.

    6. Exceptions - Quality documents or forms that were assigned code numbers corresponding to the elements of ISO 9002:1994 may retain their original identification codes. When a quality document or form with an ISO 9002: 1994 identification code is revised, it should be given a new identification code per this procedure.


  5. PROCEDURE

    Identifying & Numbering Internal Documentation

    Use the steps in the table below to create the alphanumeric document identification code for an internal quality manual, operating procedure, work instruction, or form.

    Reference:

    The document type code is then followed by a dash (-).
    Example: "OP-"

    (The fourth through seventh characters)

    Select the three digit number that corresponds to the AS9100 clause (without the periods).

    Reference:
    Policy 4 of this procedure.

    The AS9100 clause number is then followed by a dash (-)
    Example: 4.2.3 Control of documents is represented as "423-".

    Document Identification Number

    (The eighth and ninth characters)

    Assign the document identification number in sequence starting with the number 01.

    Example: "01"



  6. RECORDS/OBJECTIVE EVIDENCE

    The retention duration for records referenced in this procedure are available on-line in the FM-423-01 Master Document List with Revision History.
    Records are maintained in accordance with OP-424-01 Control of Quality Records.
